I am not familiar with Research grants at a Higher Education institution. On a very basic level, how are the funds used? We have a faculty member interested in educational research. The grant requires an institutional affiliation to be the fiscal agent. Are the funds simply cycled through the institution and used to pay the faculty member and graduate assistants directly? Is this paid as a course release or stipend? The primary expense is going to be time, with some basic supply costs. Are there any other costs that should be considered? Does anyone have a grant policy for faculty and staff members who submit grants? We need a way to approve and track all grants submitted outside our office and I'm not sure the best way to do this. Hi Julie,
One of my clients is San Jose State University. The entity that many faculty and staff work with on that campus is the San Jose State University (SJSU) Research Foundation. Here is their mission statement:
"The San José State University Research Foundation is a 501(c)3 non-profit corporation established to enable and promote externally-funded programs that further SJSU’'s comprehensive educational mission, impact, and public benefit."
Here is the link to their website:

Under "Quick Links" you will see a link to "Project Administration Guide." That guide provides policies for SJSU faculty and staff in their pursuit of external grants. It should provide you with some examples for your institution on submission, approval and tracking of grants applied for by your faculty and staff.

Nearly seven years ago, I moved to Texas to take on a job of opening the first ever grant office at a small community college. It's been a challenge (to say the least), but rewarding most of the time. I'd be happy to talk with you and discus any specific questions. We have developed a variety of forms, policy statements, grant manager manuals, etc. Please let me know what you would like to see...or to talk at any time. Also, I'm curious. Is Quincy a community college -- or a four-year institution?

Thanks Becki, we are a four-year college and in particular I'd love to see a form or policy used for faculty and staff members submitting grants. We do not currently have a system in place to regulate all grants submitted on behalf of the University. I would like to avoid two forms but the way I see it, we need a pre-approval just to verify there is no overlap in foundation requests and avoid any other conflicts of interest before too much time is invested. A second step is to have the appropriate university officials sign off on final applications to ensure the project fits the mission of the university, has no unapproved cost match requirements etc. Again, any examples you are willing to share would be lovely. Let me put some things together for you and I will email you the information tomorrow or Wednesday. I'll have to putll from a few "locations" on my hard drive. And you're correct...you need two forms! I have learned that the hard way. Trust me the pre-approval form will save you countless hours of working on a proposal that their dean won't approve, and the second saves you when the say "I didn't agree to do THAT in the proposal that I wanted." :-)
